Office Administrator – Full Time Position Tampa, FL

This position is the initial point of contact for the Service Center and always represents the company in a professional manner in person and via phone or email. This position requires interaction and contact with clients, parents/caregivers, case managers, targeted case managers, and referral sources, and other external relationships.

Essential Job Functions

  • Responding for handling incoming calls and visitors to the office and sending correspondence as requested
  • Respond daily to emails and voicemails and send correspondence as requested
  • Data entry for all for all intake referrals in our EHR system
  • Verify insurance for service eligibility, scheduling intakes and commercial co-pay/deductibles
  • Responsible for being the initial point of contact for pending referrals to include daily follow-up on all referrals that are not currently scheduled. Daily documentation in EHR of all contact or attempts to contact for scheduling purposes
  • Processing In-take packets, Treatment Plan Signature Pages, ROIs, and any missing/invalid intake documents via Right Signature
  • Provide coverage for other Service Center Office Administrator tasks, when needed
  • Responsible for scanning/uploading intake packets and all outside documents to service center scan folder
  • Processing Coordination of Care letters to PCP for records request
  • Processing Intent to Discharge letters per Supervisor request
  • Responsible for learning, understanding and maintaining up-to-date knowledge for outpatient insurance authorization and eligibility processes
  • Responsible for ordering monthly supply orders for the office (making sure all supplies are kept on hand)
  • Responsible for maintaining daily office needs to include troubleshooting copiers, faxes, phones, setting up for meetings/functions, etc.

Required Knowledge, Skills, and Abilities

  • Must be proficient in Microsoft Word and Excel, and other systems used in the position, and have the ability to multi-task and be detailed oriented
  • Must be able to present with professional, articulate, and appropriate verbal and electronic communications
  • Bilingual is not required but is preferred

Educational Requirements

  • Must have high school diploma or equivalent
  • Two years of office experience
  • Must be able to work independently and be able to multi-task

Employees must pass Level 2 FDLE background screen, drug screen, local background screen in the county of residences, and have the ability to learn and utilize Electronic Health Record.

Physical Demands/Working Conditions

Physical Requirement: Must have ability to lift and carry up to 10 lbs. The employee frequently is required to sit and reach with hands and arms. The employee is occasionally required to stand and walk. Specific vision abilities required by the job include close vision, color vision, and the ability to adjust focus. This position performs duties of above average difficulty requiring reasonable initiative and independent judgment under limited supervision.
Note: This is NOT a virtual postion, you will be working in the office located near the Veterans Expressway and Hillsborough Ave. from 8:30 am to 5:00 pm. Starting pay is $15.00 per hour.
