We are seeking a dynamic and organized Office Administrator to oversee the daily operations of our Ocala outpatient mental health service center. The ideal candidate will bring enthusiasm, strong leadership skills, and a passion for supporting mental health services to create an efficient and welcoming environment for staff and clients alike. Your pro-active approach will help foster a positive workplace culture while maintaining operational excellence. This is an in-office position in our Ocala office during routine business hours M-F, 8:30 am to 5:00 pm.
Job Duties
- Provide support for day-to-day operations under the Program Manager to ensure therapist/clinicians are providing quality services and meeting contractual Medicaid and commercial funder guidelines.
- Oversee and support all administrative responsibilities to ensure the office is operating smoothly. This includes handling all incoming calls, visitors that come into the office, as well as daily e-mails and voicemails sending correspondence, as needed.
- Daily review of the electronic health record (EHR) dashboard to assure compliance. Communicate/follow-up with clinicians/therapist/mental health professionals on compliance related issues via e-mail/telephone.
- Responsible for electronically sending/scanning/uploading Treatment Plan Reviews for signature.
- Review reports and work with clinicians/ therapist/mental health professionals on improvements, as needed.
- Responsible for ordering monthly supply orders for the office (making sure all supplies are kept on hand).
- Responsible for maintaining daily office needs to include troubleshooting copiers, faxes, phones, setting up for meetings/functions, etc.
- Represent the office as the health and safety officer and complete drills and site inspections.
Knowledge, Skills, and Abilities
- Must be able to present with professional, articulate, and appropriate verbal and electronic communications
- Must be proficient in Microsoft Word and Excel, and other systems used in the position, and can multi-task and be detailed oriented
- Must have exceptional attention to detail
- Strong organizational and time management skills, and ability to prioritize
- Must be a self-starter and driven
- Strong problem-solving skills and analytical abilities
- Must be able to work independently
- Bilingual is a plus but not required
- Familiarity with confidentiality standards (HIPAA compliance preferred)
- Proven experience within a healthcare or medical setting, preferably outpatient mental health clinics
Requirements
Must pass Level 2 FDLE background screen (for additional information about out the clearinghouse) visit https://info.flclearinghouse.com , local background screen in county of residence and drug screening.

January 1st and July 1st
Pay Range: $22.60 – $23.56 per hour – depending on experience.
